Managing contacts in the CRM

CRM contacts overview

The CRM module in Seamline helps you manage prospects and business relationships beyond just customers who have placed orders. You can track leads, log interactions, and move contacts through your sales pipeline.

Adding and editing contacts

To manage contacts:

  1. Navigate to CRM from the left sidebar.
  2. Click "Add Contact" to create a new entry.
  3. Enter the contact's name, email, phone, company, and any relevant notes.
  4. Assign the contact to a pipeline stage (e.g., Lead, Prospect, Negotiation, Won).
  5. Click "Save" to add the contact to your CRM.

You can import contacts in bulk using a CSV file. Click the "Import" button on the CRM page and follow the mapping instructions.

Understanding CRM pipeline stages

What are pipeline stages?

Pipeline stages represent the steps a lead goes through from initial contact to becoming a customer. Seamline provides a default pipeline (Lead > Prospect > Proposal > Negotiation > Won/Lost), and you can customize the stages to match your sales process.

Customizing your pipeline

To modify pipeline stages:

  1. Go to CRM > Pipeline Settings.
  2. Click "Edit Pipeline" to modify the existing stages.
  3. Add new stages by clicking "Add Stage" and entering a name and position.
  4. Reorder stages by dragging them into the desired sequence.
  5. Delete unused stages — contacts in a deleted stage will be moved to the first stage.
  6. Click "Save Pipeline" to apply changes.

The pipeline view shows a visual Kanban board where you can drag contacts between stages. This is the fastest way to update deal progress.

Tracking activities and interactions

Activity logging

Tracking activities in the CRM helps your team stay aligned on customer interactions. You can log calls, emails, meetings, and general notes. Activities appear on the contact timeline and can be filtered by type and date.

To log an activity:

  1. Open the CRM contact profile.
  2. Click "Log Activity" in the activity section.
  3. Select the activity type (Call, Email, Meeting, Note).
  4. Add a summary and any relevant details.
  5. Click "Save" to add it to the contact timeline.

Set reminders on activities to follow up at a specific date and time. You will receive a notification when the reminder triggers.
