How to submit a new design request
What is a design request?
Design requests let you communicate artwork needs to your design team directly within Seamline. You can attach reference files, specify placement, colors, and any special instructions. The design team receives a notification and can begin working immediately.
Submitting a request
To create a new design request:
- Navigate to Designs from the left sidebar.
- Click "New Design Request" in the top-right corner.
- Enter a descriptive title (e.g., "Spring 2026 Team Polo Logo").
- Select the related product or order if applicable.
- Upload reference images, logos, or brand guidelines.
- Add notes about placement, sizing, colors, and any special requirements.
- Click "Submit Request" to send it to your design team.
Including a brand style guide or color codes (Pantone, CMYK, or hex) with your request helps the design team match your expectations on the first version.
Understanding design version history
How versioning works
Every time the design team uploads a new revision, it is saved as a new version in the design request. All previous versions are preserved so you can compare changes side by side and revert to an earlier version if needed.
Viewing version history
To review design versions:
- Open the design request from the Designs page.
- Click the "Versions" tab to see all uploaded revisions.
- Click on any version to view it full-size.
- Use the "Compare" toggle to view two versions side by side.
Each version includes a timestamp and the name of the designer who uploaded it, making it easy to track who made which changes.
The design approval process
Approval overview
The design approval workflow ensures that no artwork goes to production without explicit sign-off. Once a designer uploads a version they consider final, the request moves to "Awaiting Approval" and you are notified to review it.
Reviewing and approving
To approve or request changes:
- Open the design request marked "Awaiting Approval".
- Review the latest version carefully, zooming in on details as needed.
- To approve, click "Approve Design" — this locks the version and makes it available for production.
- To request changes, click "Request Revision", add your feedback, and the designer will be notified.
Once a design is approved, it cannot be modified without creating a new revision. This protects against accidental changes before production.
Adding comments and feedback on designs
Commenting on designs
Seamline supports inline comments directly on design images. You can click on a specific area of the design to pin a comment, making it clear exactly what you are referring to. All comments are visible in a threaded sidebar.
To add a comment:
- Open the design request and select the version you want to comment on.
- Click on the area of the image where your feedback applies — a pin will appear.
- Type your comment in the text field that appears.
- Click "Post" to save. The designer and other team members will be notified.
Use @mentions in comments to notify specific team members. For example, typing @sarah will send a notification directly to Sarah.
Downloading design files and exports
Available file formats
Approved designs can be downloaded in multiple formats depending on your production needs. Common formats include PNG for screen printing, PDF for documentation, and SVG or AI for vector-based production methods like embroidery digitizing.
To download design files:
- Open the approved design request.
- Click the "Download" button on the version you need.
- Select the desired file format from the dropdown (PNG, PDF, SVG, or original).
- The file will download to your computer immediately.
If you need a format that is not listed, contact your design team through the comments. They can upload additional export formats as new attachments.
