How to view and search your orders
The orders dashboard
The Orders page shows all orders across your workspace. By default, orders are sorted by most recent. You can filter by status, date range, customer, or search by order number.
Searching and filtering
To find a specific order:
- Navigate to Orders from the left sidebar.
- Use the search bar at the top to search by order number, customer name, or product.
- Apply status filters (e.g., Pending, In Production, Shipped) to narrow results.
- Use the date picker to filter by order date range.
- Click any order row to open its full details.
You can bookmark frequently used filter combinations for quick access. Click the star icon next to the filter bar after applying your filters.
Understanding order status workflow
Order status overview
Every order in Seamline follows a status workflow that reflects where it is in the production and delivery pipeline. Statuses update automatically based on actions you take, and customers can see their order status in real time.
Status definitions
Pending — The order has been placed but not yet confirmed or moved to production. Review — The order is under internal review, typically for artwork or customization checks. In Production — The order has been approved and is being produced. Ready to Ship — Production is complete and the order is awaiting shipment. Shipped — The order has been dispatched with tracking information. Delivered — The shipment has been confirmed as delivered. Cancelled — The order was cancelled before fulfillment.
You can configure automatic email notifications for each status change under Settings > Notifications, so your customers are always informed.
Managing order fulfillment and production
Fulfillment overview
The fulfillment workflow in Seamline guides orders from placement through production and shipping. You can manage the entire process from the order detail page or use the production sheet for bulk operations.
Processing an order
To move an order through fulfillment:
- Open the order from the Orders page.
- Review the line items, quantities, and customization details.
- Click "Move to Production" to begin the production phase.
- As production completes, click "Mark Ready to Ship".
- Add shipping details and tracking number, then click "Mark as Shipped".
- The order will automatically update to "Delivered" once carrier tracking confirms delivery.
Use the Production Sheet view (Orders > Production Sheet) to see all in-production orders in a spreadsheet-like layout, which is faster for managing multiple orders at once.
Viewing order details and line items
Order detail page
The order detail page shows everything about a specific order: customer information, line items with sizes and colors, customization details, pricing breakdown, payment status, and a timeline of all status changes.
Key sections
Customer Info — Name, email, shipping address, and any notes. Line Items — Each product ordered with variant details, quantity, and unit price. Customization — Applied artwork, logos, or text decoration for each item. Pricing — Subtotal, discounts, shipping cost, tax, and total. Timeline — A chronological log of every status change and action taken on the order.
You can add internal notes to any order by clicking "Add Note" at the bottom of the timeline. These notes are only visible to your team, not the customer.
Adding shipping and tracking information
Adding tracking information
Once an order is ready to ship, you can add carrier and tracking details. Seamline supports major carriers including UPS, FedEx, USPS, and DHL. Customers receive an automatic email with their tracking link.
To add shipping details:
- Open the order and click "Add Shipping Info" or "Mark as Shipped".
- Select the shipping carrier from the dropdown.
- Enter the tracking number provided by the carrier.
- Optionally add the estimated delivery date.
- Click "Save and Notify Customer" to send the tracking email.
If you ship an order in multiple packages, you can add multiple tracking numbers to the same order. Each one will be included in the customer notification.
