How to Order Custom Team Uniforms Without Spreadsheets
Every season, the same ritual plays out. A coach opens a blank spreadsheet, texts a link to the parent group chat, and spends the next three weeks chasing sizes, correcting typos, and asking who still owes money. By the time the order finally goes to a printer, half the roster has changed and someone is getting the wrong jersey.
It does not have to work that way. Here is the process we recommend to every program we work with, whether you order through Seamline or not.
Step 1: Lock the design before you collect anything
Sizing chaos usually starts because the order and the design are moving at the same time. Get your colors, logo placement, and names-and-numbers decision settled first. Step 2: Let athletes enter their own information
The single biggest source of uniform mistakes is transcription: a parent texts a size, the coach types it into a sheet, the sheet gets pasted into an email. Every handoff is a chance for an error. The fix is a team store: one link where each athlete or parent picks their own size, spells their own name, and chooses their own number. Whoever wears the jersey enters the data.
Step 3: Never touch the money
Collecting checks and app payments makes the coach an accountant. With a team store, every athlete pays online at checkout, so the order is fully funded before production starts and nobody is fronting the program money.
Step 4: Set a real deadline and share the link twice
- Announce the store link with a hard close date about two weeks out.
- Send one reminder 48 hours before the store closes.
- Resist reopening the store for stragglers; most shops (including ours) can run a small add-on order later instead.
Step 5: Review the roster once, not fifty times
When the store closes, you should be able to see the whole order in one place: every athlete, size, name, and number. One review pass by the coach catches the rare mistake, and then production starts. No spreadsheet ever existed.
